Our Roles in the Personal, Household, Family, Estate and Business Management Sector and their Key Duties

House Manager or Household Manager:

Provides the overall management of a private residence, including administration, staffing, budgeting, and maintenance. They are responsible for ensuring that the home runs smoothly and efficiently, managing household staff, and maintaining a high standard of comfort and organization. These duties include but are not limited to:

  • Manage household staff such as cleaners, chefs, and gardeners, including hiring, training, and scheduling.
  • Develop and implement household policies and procedures.
  • Organize and oversee household events and functions.
  • Coordinate maintenance and repairs of the property with outside contractors and vendors. Including monitoring any construction or work done within the home or on the property.
  • Maintain inventory of household supplies and groceries.
  • Create, manage, and keep records of household budgets and expenditures.
  • Provide support to family members as needed, including personal errands.
  • Maintain schedules for household tasks, projects, visitors, events, and vendors.
  • Handle correspondence and appointments for family members.
  • Ensure the home is kept clean, organized, and well-maintained.

Estate Manager:

Manages large estates, including multiple properties on behalf of a family. This role focuses on the care, maintenance, and administrative functions of an estate by coordinating with contracts and handling large-scale events. These duties include but are not limited to:

  • Oversee all aspects of estate management, including staffing, maintenance, and security.
  • Develop and implement long-term maintenance plans for estate properties.
  • Manage the estate budget, including tracking expenses and accounting.
  • Coordinate the planning and execution of events, both social and charitable.
  • Ensure compliance with local regulations and property laws.
  • Liaise with contractors, vendors, and service providers for estate services.
  • Keep records of estate assets and oversee the inventory of equipment and supplies.

Chief of Staff:

Supervises household staff, manages budgets, and ensures smooth overall household functioning. In the context of household or family office management, a chief of staff supports the principles of a household or estate, overseeing operations and acting as a liaison between family members and staff. This role often includes strategic planning and project management.

  • Serve as the primary point of contact for family members regarding household operations.
  • Oversee the execution of household and estate projects and initiatives.
  • Manage workflows and ensure effective communication among household staff.
  • Develop strategic plans for household management and improvements.
  • Analyze household operations for efficiency and recommend solutions.
  • Represent family members in meetings or negotiations as needed.

Family Assistant:

A family assistant provides support to families by taking on various tasks that facilitate daily life including but not limited to administrative support, managing schedules, and assisting with family activities. This role often involves a mix of administrative, childcare, and household management responsibilities.

  • Assist with childcare, including supervising children and helping with homework.
  • Organize family schedules and activities, including appointments and events.
  • Run errands, including grocery shopping and picking up dry cleaning.
  • Help manage household tasks, such as meal planning and preparation.
  • Coordinate travel arrangements for family members.
  • Assist with pet care as needed.
  • Provide support during family events and gatherings.

Family Office Assistant:

A Family Office Assistant provides administrative and logistical support to a family office, which serves high-net-worth individuals or families. Their role encompasses a blend of personal and financial management tasks tailored to the unique needs of the family.

  • Administrative Support: Manage the daily operational needs of the family office, including scheduling, correspondence, and record-keeping.
  • Personal Assistance: Assist with personal tasks such as bill payment, travel planning, and household staff coordination.
  • Financial Management: Help track investments, manage budgets, and prepare financial reports as directed by family office executives.

  • Calendar Management: Maintain and coordinate complex executive calendars, scheduling meetings and appointments.
  • Meeting Coordination: Prepare agendas, take minutes during meetings, and ensure follow-up on action items.

All of these roles require strong organizational skills, attention to detail, and the ability to manage multiple tasks. While some of the duties for each role may overlap with another these are the main differences:

  • Household Managers and Estate Managers focus on the day-to-day functioning of the home, estate(s), and property operations.
  • The Chief of Staff focuses on managing the entirety of the staff associated with the property or estate.
  • Family Assistant roles focus on childcare duties, assisting parents with day-to-day family needs, schedules, and activities.
  • Family Office Assistants navigate both personal and financial matters for wealthy families.
  • Personal Assistants generally focus more on the personal tasks of one family member.
  • Executive Assistants tend to work with high-level executives and CEO's strictly on business-related functions.

Scheduling Options & Service Durations

  • Full-Time: Comprehensive services between 40 to 50 hours per week across 5 days in 7 days. Can be live-in or live-out.
  • Part-Time: Flexible services with a minimum of 20 hours per week up to 39 hours per week.
  • Permanent: 12 months (52 weeks a year) or longer.
